Direct to Patient Video Visits via OTNinvite

Below are instructions on the various ways to connect using Direct to Patient Video Visits via OTNinvite.

Note: In order to watch the videos, please ensure that you can connect to YouTube from your device.

Connecting to a Patient Now from the OTNhub

  1. Log in to otnhub.ca using Google Chrome.
  2. Locate Connect with a Patient at Home at the top left hand of the page and enter the patient's email. Click Go.
  3. Enter the patient's name and click the phone button to send an email invitation and start the video visit.
  4. You will see a blue welcome screen until participants join. For privacy, you can mute your speakers, microphone, or camera.
  5. Once everyone has joined, click on the three dots to access more settings including the participant list. From here you can lock the call to prevent anyone else from using the link to join the call.
  6. At any point you will be able to view your call quality or disconnect the call.

Scheduling a Video Visit for Yourself on the OTNhub

  1. Log in at otnhub.ca using Google Chrome.
  2. Click on Videoconference on the black bar at the bottom of the screen.
  3. Click on Connect to at the top left. A popup will appear.
  4. Click Guest via OTNinvite and fill in the Guest name and email.
  5. Click the calendar button. Select the date and time. Note that the time is in 24-hour format.
  6. Click Schedule. A confirmation popup will appear.
  7. Review the details and click Schedule to send the email invitation.
  8. If you require the Host URL and Host PIN to conduct the call from a mobile device, click on the video visit entry in the Events List on the left to open the Event Details.
  9. Copy the Host URL and Host PIN and paste them into an email to yourself or into your calendar so that they are accessible on your mobile device.

Connecting to a Scheduled Call from the OTNhub

  1. Log in to otnhub.ca using Google Chrome.
  2. Click on Videoconference on the black bar at the bottom of the screen.
  3. Locate the video visit you want to connect to in your Events List on the left-hand side.
  4. Tap Start eVisit then tap Open my eVisit event.
  5. Click the phone button next to the appropriate event to launch the call.
  6. You will see a blue welcome screen until participants join. For privacy, you can mute your speakers, microphone, or camera.
  7. Once everyone has joined, click on the three dots to access more settings including the participant list . From here you can lock the call to prevent anyone else from using the link to join the call.
  8. At any point you will be able to view your call quality or disconnect the call.

Connecting to a Scheduled Call as the Host on a Mobile Device

  1. Log in at otnhub.ca using Google Chrome.
  2. Click on Videoconference on the black bar at the bottom of the screen to bring you to today's schedule. To access an event on a future date, select the date from the calendar.
  3. Click on the video visit entry in the Events List on the left to open the Event Details.
  4. Copy the Host URL and Host PIN and paste them into an email to yourself or into your calendar so that they are accessible on your mobile device.
  5. Ensure your device is not on "Battery Save Mode" and that you’ve downloaded the white Pexip Infinity Connect app
  6. Tap on the Host URL from your device. A Welcome to eVisit screen appears. Tap Open my eVisit event.
  7. This will launch the Pexip app. If requested, tap OK to permit access to your camera, microphone, and calendar.
  8. A Pexip app “You’re invited to” screen appears with your self-view and three options. If requested, type your name, then tap the Video option.
  9. A PIN dialogue box will appear. Type the Host PIN and then tap join.
  10. Once connected, you'll see a blue welcome screen and your self-view until other participants join.
  11. To end the conference, tap anywhere in the video image to view the control bar, then tap the End Call button.
  12. Click Disconnect in the confirmation popup.

Scheduling a Video Visit on Behalf of a Consultant on the OTNhub

  1. Log in to otnhub.ca using Google Chrome.
  2. Click on Videoconference on the black bar at the bottom of the screen.
  3. Click on Connect to at the top left. A popup appears.
  4. Click Guest Via OTNinvite and fill in the required fields of Guest name and Guest email. You can add up to 19 guests for group clinics or case conferences.
  5. Select the name of the person you're scheduling on behalf of.
  6. If the hosting consultant will be joining on a mobile device, you can modify the Host PIN to a standard PIN that’s agreed upon in advance for ease of use.
  7. Click the calendar button, Select the date and time. Please note that the time is in 24-hour format.
  8. Click Schedule. A confirmation popup appears.
  9. Review the details. If you want to view a ‘patient handout’ summarizing the event details to be provided to the patient separately, leave the View the patient handout... checkbox selected.
  10. If all is correct, click Schedule. The videoconference is then scheduled, an email invitation is sent, of which you will receive a copy, but the consultant will not, and the OTNinvite event will appear in both yours and the consultant’s Events List.
  11. Using the Event Details, you can copy the event, edit the event’s date and time, and the number of patients.
  12. If the consultant needs to conduct the video visit from a mobile device, copy the Host URL and Host PIN and paste them in an email to the consultant or into the consultant’s calendar so that they are accessible from the mobile device.

Connecting as a Participant on a Mobile Device

  1. Ensure your device is not on "Battery Save Mode" and that you’ve downloaded the white Pexip Infinity Connect app
  2. Open your email invitation from your mobile device.
  3. Tap Start eVisit then tap Open my eVisit event.
  4. This will launch the Pexip app. if requested, tap OK to permit access to your camera, microphone, and calendar.
  5. A Pexip app "You're invited to" screen appears. If requested, type your name, then tap the Video option.
  6. If you are the first participant, you’ll see a "waiting for the host" screen until the other participant joins the call.
  7. To end the conference, tap anywhere in the video image to view the control bar and then tap the End Call button.
  8. Click Disconnect in the confirmation popup.

Joining a Call as a Participant Using your Computer

  1. Open your email invitation and click the Start eVisit link. Ensure the link opens in Google Chrome, our preferred web browser.
  2. An OTN Log In screen will appear. Type your name and then click Connect.
  3. A “Select your camera and microphone” panel will appear. Leave the default devices selected or change as desired and then click Start. If you see a permission popup, allow the use of your camera, speaker, and microphone.
  4. When connected, you will see a “Waiting for the host...” image in the large video image and your self-view at the top right until the other participant joins.
  5. To end the conference, move your mouse over the video image to show the control bar and then click the End Call  button. Click Disconnect in the confirmation pop-up.
